About CourtSync
CourtSync is a service provided by Fluxum. CourtSync provides online court and venue booking, operations tools, and related services for sports facilities, schools, clubs, and players. This Privacy Policy describes how Fluxum handles personal information when you use our websites, apps, and APIs (collectively, the Services).
1. Information we collect
We collect information that you provide directly, that is generated when you use the Services, and from third parties as described below.
- Account and profile data — name, email address, phone number (if provided), password or authentication tokens, organization or venue details for operators, and preferences you set in your account.
- Booking and activity data — reservations, court selections, schedules, check-ins (e.g. QR), loyalty or points activity where enabled, messages you send through contact or support channels, and content you submit (e.g. maintenance reports).
- Payment information — payments for subscriptions or bookings are processed by our payment partners (e.g. Paddle). We do not store full card numbers on CourtSync servers; we receive limited billing metadata needed to operate your account and comply with law.
- Technical and usage data — IP address, device and browser type, approximate location derived from IP, pages viewed, referring URLs, and diagnostic logs to secure and improve the Services. When enabled in a given deployment, product analytics (for example Google Analytics) may collect additional usage or device signals according to that provider’s policies and your browser settings.
- Communications — records of support requests, feedback, and email or in-product messages you send to us.
- Integrations (eligible plans) — if you connect third-party integrations, we process the data needed to run them per your settings.
2. How we use information
We use the information above to:
- Provide, operate, and improve the Services (including search, booking, venue dashboards, and optional features such as loyalty, events, and APIs).
- Authenticate users, prevent fraud and abuse, and protect the security of our systems.
- Process transactions, send confirmations and service-related notices, and respond to your requests.
- Analyze usage in aggregate to improve product performance and user experience.
- Comply with legal obligations and enforce our terms.
Where required by law, we rely on appropriate legal bases (such as contract performance, legitimate interests, or consent) for processing.
3. How we share information
We do not sell your personal information. We may share information:
- With venues you interact with — when you book a court, the venue operator typically receives information needed to fulfill the reservation (e.g. name, contact details, booking time).
- With service providers — hosting, analytics, email delivery, payment processing, security, and customer-support tools, under contracts that require them to protect your data and use it only for the services they provide to us.
- For legal reasons — if we believe disclosure is required by law, regulation, legal process, or to protect the rights, safety, or property of CourtSync, our users, or others.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to appropriate safeguards.
4. Data retention
We retain information for as long as your account is active and as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Retention periods may vary by data category and jurisdiction.
5. Security
Fluxum implements appropriate technical and organizational measures designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. No method of transmission over the Internet is completely secure; we encourage you to use strong passwords and protect your account credentials.
6. International transfers
We may process and store information in countries other than where you live. Where we transfer personal data across borders, we use safeguards consistent with applicable law (such as contractual clauses or adequacy decisions).
7. Your rights
Depending on where you live, you may have the right to access, correct, delete, or export certain personal information, or to object to or restrict certain processing. You may also have the right to lodge a complaint with a supervisory authority. To exercise these rights, contact us using the details below. We will respond in line with applicable law.
8. Children
The Services are not directed to children under the age where parental consent is required in your region. If you believe we have collected information from a child inappropriately, please contact us and we will take appropriate steps.
9. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and update the "Last updated" date. Material changes may be communicated through the Services or by email where appropriate.
10. Contact us
